How Much Does PR Software Cost in 2026? Real Prices and Hidden Costs

PR software prices are rarely published, so we asked the professionals in our October 2026 survey. Around €4,000 a year excl. VAT for a five-person agency’s license, around €10,000 for a larger agency, plus monitoring packages billed client by client, sometimes by volume of coverage. At the other end, a two-person film PR agency works with no journalist discovery tool at all, just Excel lists and €15-a-month monitoring.
We wanted clearer pricing for PRisme because teams need to understand what they’re paying for. This guide separates the software license from the other costs you should include in your budget.

What French agencies actually pay
Public benchmarks are mostly US data. Here’s what agencies in Paris told us:
- A 5-person agency paid about €3,975 excl. VAT per year for one Cision license with editorial calendars.
- An established 11-year-old agency spent about €10,000 per year for the whole team. The first license costs over €3,000; each extra seat is “a few hundred euros”.
- For the same 5-person team, a French competitor (Augure) quoted about €3,500 per year in total.
The 6 hidden costs
1. Extra seats
Enterprise prices are usually per user, with discounts as you add seats. Ask for the price at your team size in a year, not today.
2. Media monitoring
Usually the biggest surprise. Monitoring is often a separate contract, priced by volume of coverage.
- One agency told us it bills its clients for monitoring packages: about €300–400 for 50 articles, €2,787 excl. VAT for 500, then around €8.80 per extra article.
- A French vendor quoted a monitoring base of around €5,000, plus per-client fees that “can easily exceed €15,000”.
- Why so expensive in France? Vendors pay copyright fees to the CFC (the French copyright collection body) and buy content from publishers. That cost is passed on.
3. Onboarding and training
Vendr reports onboarding fees of $1,000–$5,000 for Muck Rack and $2,000–$10,000 for Meltwater.
4. Add-on modules
Social listening, influencer data, extra countries. Vendr notes add-ons can raise a Muck Rack contract by 10–30%. One agency told us they never bought Cision’s social monitoring module because it was “very expensive”.
5. International coverage
If your database covers one country, other countries cost extra. An agency founder told us country lists cost “several hundred euros” each, are shallow, and need re-buying after about six months.
6. Renewal increases
Annual contracts often auto-renew, sometimes with a price increase. Vendr reports 3–7% typical renewal increases for Meltwater. Note your notice period.
Total cost: 3 examples
| Startup (1 person) | Agency (5 people) | Brand comms team (10 people) | |
|---|---|---|---|
| Needs | Database + sending | Database + sending + CRM + some monitoring | Monitoring + newsroom + database |
| Light tool | ~$1,800–3,500/yr | ~$3,500–6,000/yr + monitoring per client | Often not enough |
| Enterprise suite | Overkill | ~€4,000–10,000/yr + monitoring | $25,000–80,000/yr |
Orders of magnitude based on the sources above. Your quote will vary.
How to pay less
- Come with benchmarks. Vendr reports that buyers save 15–26% on average vs the first quote (Meltwater ~15%, Muck Rack ~17%, Cision ~26%).
- Compare 2–3 vendors for real. Run the same search in each.
- Negotiate at quarter-end, when sales teams have targets.
- Don’t buy modules “just in case”. Start small; add later.
- Ask for monthly billing or a short first term if you’re unsure.
- Check what you actually use. Several agencies told us they use a fraction of their suite.
FAQ
How much does Cision cost per year?
Cision doesn’t publish prices. Vendr’s data shows a median of $12,625/year, from about $3,150 to $30,368. French agencies we interviewed paid €4,000–€10,000/year.
Why is media monitoring so expensive?
Vendors pay for content and copyright licenses (in France, via the CFC), plus the technology to track print, web, TV and social. That’s why it’s usually priced separately.
What’s the cheapest real PR software?
Light all-in-ones with public pricing start around $150/month. Below that, you’re usually looking at a spreadsheet + email.
